There are three options for submitting an abstract.
- Web Form
- The Web
Form is the preferred method. Instructions for completion and
submission of abstracts are available on line.
- Once you've submitted your abstract
by the Web form, the first acknowledgment of receipt will be a copy of your
abstract from the AAS computer; this should happen promptly. If
you review your abstract and notice an error, DO NOT RESUBMIT THE ABSTRACT, see
Corrections. The second acknowledgment will confirm
acceptance of your abstract and notify you of the running
identification number.
- The only limitation on the Web form is that
you cannot have more than five different institutions in your author list. If
you do have coauthors from more than five institutions you will have to use the
electronic abstract template instead of the Web form.
- Electronic Abstract Template
- An electronic abstract template is available for those that cannot use
the Web form. You can download the abstract
materials by anonymous FTP:

- If your computer does not know about ftp.aas.org, try typing the

- The completed abstract template
should be e-mailed to: absspd-submit@aas.org.
If you have any questions about electronic submission while you are
preparing your abstract,
please contact the Executive Office for assistance. You can call the office at
202-328-2010, or
send an e-mail message to: absspd-help@aas.org as far in advance of the
abstract deadline as
possible. We will respond to all requests for help, but since the majority of
abstracts are
submitted the day of the deadline, time is in short supply.
When you submit your abstract, you will receive two e-mail confirmations of
its receipt. The first
acknowledgment message from the AAS computer should happen promptly, typically
within
minutes of the message's arrival. The abstract message will then be held for
further processing.
Abstracts are usually processed within 24 hours.
During this stage, the abstracts are accepted and
assigned running identification numbers.
You should receive a second message confirming the
acceptance of your ABSTRACT and notifying you of the
running identification number. If you do
not receive a confirmation, DO NOT RESUBMIT THE ABSTRACT.

- Paper Abstracts
- It is possible, though not encouraged,
to submit an abstract on a paper abstract form.
To obtain the form, please use the AAS ftp archive or write:

The abstract form asks for information designed to assist the
Scientific Organizing Committee in sorting the papers properly.
Please be sure to complete or check the appropriate spaces.

- This box on the abstract form should include requests for scheduling or
for special audio-visual equipment.
- Categories
- Categories are used to group abstracts together to
make it easier for the Scientific Organizing Committee
to build coherent sessions.
Please classify your abstract in one of the following categories.
Fill in the appropriate number in the "category" space.
Do NOT type in the descriptive category words - use only the number.
The Scientific Organizing Committee will use your selection as a guide,
but may place your abstract in a session that differs from
your classification.
If you request to be adjacent to another particular paper, make
sure that the same category number appears on both papers.

We encourage the use of the display method,
as it affords the author far more time and flexibility
in presenting a paper.
Posters are ideal for those using charts, graphs or detailed visual aids.
The display area is adjacent to the area in which coffee
and meals will be served.
Also there will be a limited number of slots available for oral presentation.
Display is the default session type.
Oral and dissertation information follows.
- Your presentation should fit within an approximate 1.8 x
1.8msquare area. Pins will be provided.
- Display presentations will be up for the full meeting. Consider
posting hours at which you will be present at display.
- Requests for extra space to accommodate models or for special audio-visual equipment must
be made in the "Special Instructions" box on the abstract form
- When planning your display, remember to use bold graphs, photographs,
figures, and tables.
Include a title and the names of authors in large type, and keep the display
simple and easy to read from a distance.
If you wish to present your paper as an oral presentation, please select
"oral" as sessiontype on
the abstract form; otherwise, we will assume that your first choice is to
present your paper in a
display session. Please note that time for oral papers is limited.
We will schedule on a first-come, first-served basis,
but may have to switch some to poster papers. All authors whose papers are
changed from oral to poster will be notified. We recommend that those authors
who must have
oral presentations submit their abstracts so as to have them arrive at least
three to four days prior to the abstract deadline.
- Ten minutes are allowed for the normal oral presentation and three
minutes for open
discussion.
- Overhead projectors for transparencies will be automatically
provided in the oral session rooms. Requests for other
equipment should be noted under "Special Instructions" on
the abstract form.
- When preparing your presentation, we suggest a maximum of six slides or
transparencies
for a ten-minute talk. Slides should be uncluttered and easy to read; only
essential
information should be presented on the slides. A good rule of thumb: if you
cannot read your
slide with the naked eye, the lettering is too small to be read by your
audience.
- Practice a few times so the presentation fits comfortably into the
ten-minute slot.
If you would like to present a 15 minute dissertation abstract you must
select "dissertation" as
sessiontype on the abstract form. We urge authors to submit dissertation papers
at least one week
before the abstract deadline.
- Dissertation Abstracts are oral presentations of 15 minutes with a few
minutes for discussion.
They should be based upon the author's dissertation material, and will be
presented within
regular oral sessions of appropriate topics. If you would rather present your
dissertation as a
poster, please note this under special instructions.
- Only students or graduates within one year of receiving the Ph.D.
are eligible, and abstracts for such presentations must be accompanied
by notice from the author's advisor attesting to this fact.

If the letter is not received, the paper will be treated as a regular abstract.
- Students or graduates wishing to submit Dissertation Abstracts
should be accepted for membership in the AAS or SPD by the Abstract Deadline
(nomination forms are
available in the back of the AAS Membership Directory, can be
downloaded from the Membership section of
the Homepage or from the AAS Executive Office).
- These papers are subject to the same rules of preparation and submission
as regular oral and
display papers, but they will be specially marked in the Final Program.
- Dissertation papers arriving after the abstract deadline will be treated
as regular late papers.
- A person may present a Dissertation Abstract only once.
- Any member of the AAS or SPD may submit a paper.
- The presenting author must be listed as the first author on the
paper.
- Nonmembers of the AAS are allowed to present one paper at
one meeting of the Society provided that the abstract is
countersigned by a member who thus "introduces" the author.
- A member or non-member may not present more than one paper at a meeting,
with the
exceptions listed below. A member may co-author several papers but may be the
first author
and presenter for only one paper.
- Normally, those presenting Invited Talks may
present an additional contributed paper.
- A paper by a resident of North America may not be read by proxy.
If the author is unable to attend the meeting,
his or her paper will be read by title only.
The abstract will still be printed in the B.A.A.S.
- In the case of severe physical misfortune,
a joint paper may be read by a co-author, even if the
co-author is reading another paper.
- If a member residing outside of North America discovers
at a late date that they cannot attend the meeting,
they may arrange to have the paper read by another member.
Please be sure to include a current address telephone number and e-mail
address for the
presenting author so that we may contact you promptly in the event of a problem
with your
abstract.
- Submitting Electronic Template Abstracts
for More than One Author
- If you are submitting abstracts for a group of people in your
institution, please DO
NOT submit them in the same e-mail message. We require a separate e-mail
message
for each abstract. If you include more than one abstract in an e-mail
message, the additional abstracts will not be accepted.

- We will adhere to the following deadlines very
strictly.
- Abstracts received after the deadline will not be published
in the Final Program of the meeting but, if they are accepted,
will be assigned to an extra display session for late papers,
scheduled on the last day of the meeting.
- No abstracts will be accepted via FAX.
- Abstracts are acknowledged within 24 hours of receipt.
If the presenting author does not
receive an acknowledgment within a reasonable period of time,
he/she should call the Executive Office (202-328-2010).
Do not resubmit the abstract.
- Abstracts of late papers will be accepted by
the Executive Office through 2 June 1997. No
late papers are accepted at the meeting.
Late papers will be published in the subsequent issue
of the B.A.A.S.
- The Final Program will be posted on the Web in May and
distributed on paper at the meeting.
- Corrections
- Error in abstract:
If you need to make a correction to your abstract or author list, send
a message detailing the correction to absspd-help@aas.org.
We will make every effort to correct the mistake, but since the
majority of abstracts and corrections are submitted on
the day of the deadline, time is in short supply.
The correction must be sent by the first author on the abstract.
- Error in scheduling:
If after the Final Program has been announced, you have a
problem with the scheduling of your abstract contact Richard Canfield
